ArcologyGames Media Inc. (“ArcologyGames”, “we”, “us”) operates arcologygames.com. We are an independent games magazine, not an advertising business, and we collect as little personal information as we can get away with. This policy explains what we do collect, why, and the rights you have under Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta’s Personal Information Protection Act (PIPA).
1. Who we are
We are based at 10123 Jasper Avenue NW, Suite 720, Edmonton, AB T5J 3N9, Canada. For the purposes of PIPEDA and Alberta’s PIPA, the organisation accountable for your personal information is ArcologyGames Media Inc.. Our Privacy Officer is responsible for compliance with this policy and can be reached using the details in section 13.
2. Our commitment — the ten PIPEDA principles
We handle personal information in line with the ten Fair Information Principles set out in Schedule 1 of PIPEDA:
- Accountability — we are responsible for the personal information under our control and have appointed a Privacy Officer.
- Identifying purposes — we identify why information is collected at or before the time of collection.
- Consent — we obtain your knowledge and consent before collecting, using or disclosing personal information, except where the law allows otherwise.
- Limiting collection — we collect only what is necessary for the purposes identified.
- Limiting use, disclosure and retention — we use information only for the purpose it was given, and keep it only as long as that purpose requires.
- Accuracy — we keep information as accurate and up to date as is necessary for its purpose.
- Safeguards — we protect information with security appropriate to its sensitivity.
- Openness — we make our privacy practices available in plain language, as in this document.
- Individual access — you may ask what we hold about you and request corrections.
- Challenging compliance — you may challenge our compliance through our Privacy Officer, and escalate if you are not satisfied.
3. What personal information we collect
Depending on how you use the site, this may include:
- Contact form data — your name, email address, the subject you select and the content of your message.
- Newsletter data — your email address, and the date and time of your opt-in, if you subscribe to the weekly dispatch.
- Cookie preferences — the choice you make in our cookie banner, stored in your own browser so we do not have to ask again.
- Technical data — only with your consent, aggregated analytics such as pages viewed, approximate region and referring site.
We do not collect payment details, government identifiers, precise location, or any sensitive personal information, because nothing we do requires them. We do not operate user accounts and there is nothing on this site to sign into.
4. Why we collect it
- To reply to your enquiries, corrections, tips and pitches.
- To send the weekly dispatch, where you have specifically asked for it.
- To understand in aggregate which articles readers value, so we know what to cover next.
- To keep the site secure, available and working correctly.
5. Consent and withdrawing it
We rely on your consent. You give it when you submit a form, tick the newsletter box, or choose your cookie categories. Consent is never bundled: the newsletter checkbox on our contact form is separate from the consent needed to reply to you, and it is unticked by default.
You may withdraw consent at any time by emailing us or by using the unsubscribe link in any dispatch. Withdrawing consent does not affect anything we did lawfully beforehand, and it does not restrict your access to any part of this site.
6. Email and CASL
Our newsletter is strictly opt-in, consistent with Canada’s Anti-Spam Legislation (CASL). Every message we send identifies ArcologyGames Media Inc. as the sender, includes our mailing address, and carries a working unsubscribe mechanism that we action within ten business days — in practice, immediately. We keep records of when and how each subscriber consented. We never sell, rent or share our subscriber list.
7. Cookies and analytics
Analytics and marketing storage are set to denied by default and stay that way until you choose otherwise in the cookie banner. Rejecting them does not hide, blur or limit any part of this site. A full breakdown of what each category does is in our Cookie Policy, and you can change your mind at any time via the “Cookie Settings” link in the footer.
8. Sharing and disclosure
We do not sell personal information, and we do not share it for anyone else’s marketing. We share it only with service providers who help us operate the site — principally our hosting provider and our email delivery service — and only to the extent they need it to do that job. These providers are bound by contract to protect the information and to use it solely on our instructions.
Where a service provider stores or processes data outside Canada, that information may be accessible to the courts and authorities of that jurisdiction. We choose providers with equivalent protection and keep the list short. We may also disclose information where we are legally required to, or to establish or defend a legal claim.
9. Retention and security
Contact form messages are kept for up to 24 months so we can follow up on corrections and pitches, then deleted. Newsletter records are kept until you unsubscribe, plus the period needed to prove consent under CASL. Aggregated analytics are retained for up to 14 months.
We protect personal information with administrative, technical and physical safeguards appropriate to its sensitivity, including encrypted transmission (HTTPS), restricted staff access on a need-to-know basis, and regular review of the small number of systems involved. No transmission over the internet is completely secure, but where a breach creates a real risk of significant harm we will notify affected individuals and the Privacy Commissioner as PIPEDA requires.
10. Your access and correction rights
You have the right to ask what personal information we hold about you, how it has been used, and to whom it has been disclosed. You may ask us to correct anything inaccurate or incomplete, and to delete information we no longer need. Write to our Privacy Officer using the details below; we will confirm your identity in a proportionate way and respond within 30 days, as PIPEDA requires. There is no charge for a reasonable request.
11. Children
This site is written for a general adult readership and is not directed at children. We do not knowingly collect personal information from anyone under 13. If you believe a child has sent us personal information, contact us and we will delete it.
12. Complaints
If you have a concern about how we handle personal information, please raise it with our Privacy Officer first — most things are resolved quickly at that stage. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376, or, as an Alberta organisation, the Office of the Information and Privacy Commissioner of Alberta at oipc.ab.ca.
